FAQs

The Medical Billing for Dentists team receives countless emails and phone calls from practices, likely very similar to yours, requesting assistance with “medical cross coding for dental procedures.” We find ourselves explaining time and time again that we certainly can help you with dental medical billing. We’d also like to explain to you why cross coding is an inappropriate misnomer.

YOU CAN’T DO TODAY’S JOB WITH YESTERDAY’S METHODS AND BE IN BUSINESS TOMORROW

Popular in the 1980’s, dental to medical cross coding is based on the belief that for every dental code there’s a medical code equivalent. At the time there were not appropriate medical codes for the procedures commonly performed today, so practices had to come up with creative coding solutions when cross coding dental to medical procedures. More recently, with all the research proving the systemic links between dental and overall health, we’re able to use the appropriate medical codes to get you the best results possible.

FOR MANY DENTAL CODES THERE ARE MEDICAL “CROSS CODES”

Many dental medical billing companies will lead you to believe that successful cross coding is a simple feat by utilizing proprietary software. That’s one reason we’re different-- Medical Billing for Dentists has never met a dental team that welcomes new software into the practice. Our system doesn’t require any special software and doesn’t rely on your team trying to learn dental cross coding at all. In our opinion, expecting your team to learn medical coding and form filing is similar to proposing that they learn a second language! If you handed your office staff a foreign language dictionary, they may be able to look up the words but it’s unlikely they could string them into a coherent sentence! Doesn’t it make more sense to allow your team the time they need to keep your practice running, your schedule full, and successfully handling your dental insurance billing? With Medical Billing for Dentists there’s no need for the time and expense of learning ANOTHER software. Let us do the work for you!

I’VE HEARD I CAN JUST “OPT OUT” OF MEDICARE AND BE DONE WITH IT. WHY NOT OPT OUT?

While you can Opt Out, it’s probably the most complicated option/alternative and not at all as simple as the words might imply. Most dental offices that "opt out" end up being non-compliant because they don't follow the harsh requirements AFTER they have opted out. Here’s why we don’t recommend it; (1) You would have to have every patient in your office, that is 65 or older, sign a “contract” that you informed them that you do not deal with Medicare. The required wording is very patient unfriendly and you risk losing these senior patients from your dental practice, (2) If you Opt Out, you are required to send written affidavits to all the Medicare processors in your jurisdiction on a continual basis, (3) The Opt Out locks you out of amending this choice for 2 years and puts you in a questionable position should anything change with Medicare. If you do decide to Opt Out or wish to discuss it, call our office or email us and we can handle that process for you.

WHAT IF I DECIDE I WANT TO BILL MEDICARE AFTER I HAVE YOU PROCESS THE NON-BILLING OPTION?

No problem. We will apply what you have paid and complete the necessary changes electronically on your behalf. This can be done at any time in the future if and when the need arises.

I CURRENTLY BILL MEDICARE FOR SLEEP APNEA APPLIANCES. THAT MEANS I HAVE SATISFIED THE DENTIST REGISTRATION REQUIREMENT.

Not necessarily. Check the paperwork you have from Medicare. If you were approved only as a DME (Durable Medical Equipment) Supplier, you are now required to additionally register for Part B. The registration which we are offering will take care of that for you. Call us if you are unsure or have any questions.

I’M NOT SIGNED UP WITH ANY DENTAL OR MEDICAL INSURANCE PLANS AND WE DON’T ACCEPT ASSIGNMENT OF BENEFITS. I CERTAINLY DON’T NEED TO BOTHER WITH ANY MEDICARE REGISTRATION.

This is not a private insurance company making a request to you. This is a federal requirement and if you have DDS or DMD after your name, you are required to follow this mandate to register. It will not have any affect on your current practice of not accepting assignment and we can help you to be compliant by electronically completing your registration.

I HAVE NEVER TREATED A MEDICARE PATIENT. WHY SHOULD I BE INTERESTED OR EVEN CONCERNED ABOUT REGISTERING?

The short answer is that registering is a new Federal requirement. All dentists are subject to this requirement.

WHAT PENALTY MIGHT I SUFFER IF I DON’T REGISTER WITH MEDICARE?

That’s difficult to say, but why would you want to take the risk of not complying? If you believe in following all requirements to keep your license current, then we suggest you take this registration just as seriously.

Can’t I just send in a form to get this Medicare registration done?

The Centers for Medicare and Medicaid Services encourages that everything is done electronically. Even if you could send a paper form and even if you sent it by Certified Mail, there is no way to track it within the Medicare system. We are able to track all of your applications electronically.

MY PRACTICE IS NEAR A LARGE RETIREMENT FACILITY. CAN I USE THIS PROGRAM TO HELP GET MORE PATIENTS?

After you have fulfilled this requirement, you would be able to include in your marketing efforts that you are registered with Medicare. That means a lot to many people in the 65 and older category.
